About the position
The Medical Reception and Administration Officer is a key first point of contact for headspace Frankston and Rosebud, providing a welcoming, youth-friendly and professional reception service for young people, families/carers, community members and service partners. The role supports safe and timely access to services by managing high-volume phone, email and face-to-face enquiries with warmth, discretion and professionalism, and by assisting with initial contact, screening, warm referral and clinical escalation processes within scope of practice.
The role undertakes a broad range of medical reception and administrative duties, including front-of-house support, appointment management, client presentations at reception, room bookings, monitoring and supporting clients attending appointments, electronic medical record management, scanning, correspondence, data entry and general administrative support to the headspace leadership team, staff, GPs, allied health professionals and private practitioners.
Key Selection Criteria
1. Administration qualifications and/or experience in a similar administration role.
2. Demonstrated experience in providing administrative support to a multi- disciplinary team including the requirement to maintain privacy and confidentiality.
3. Excellent computer skills with proficiency in the use of Microsoft Office Suite, alongside the ability to quickly acquire knowledge about additional computer programs.
4. Ability to contribute to process improvement
5. Ability to maintain a professional attitude in all communication with stakeholders i.e. phone, email and face to face.
6. Excellent interpersonal skills, and written and verbal communication skills.
